Contract Experiential Event Producer

As Event Producer, Experiential at SUPERFANTASTIC (‘SF’) you are smart, curious, thoughtful, flexible and care about the details—someone who is eager to meaningfully contribute to and drive our XM business forward.
Working alongside our small and nimble team and reporting directly to our Experiential Creative Director, The Event Producer is responsible for the successful execution of experiential projects from development through delivery. This role ensures that creative vision is realized within established budgets and timelines, while maintaining studio standards and an exceptional client experience.
The Producer works closely with the Creative Director and Managing Director to support client relationships, source and manage vendors, and oversee event production components across projects at the same time.
KEY RESPONSIBILITIES
Project Execution
—Lead and manage end-to-end experiential event production within larger studio projects
—Deliver projects according to SUPERFANTASTIC standards, budgets, and timelines
—Plan early and proactively to safeguard creative quality and financial performance
—Take ownership of deliverables, flag risks early, and collaborate on solutions
—Prepare detailed workbooks including timelines outlining all project specifications
—Utilize studio tools and systems to communicate all necessary project information clearly and thoroughly
Client & Vendor Management
—Assist Creative Director and Managing Director in managing client relationships in line with studio philosophy
—Develop a deep understanding of each client’s business, objectives, and success metrics
—Negotiate event specifics with vendors, ensuring alignment with scope and budget
—Build and maintain effective relationships across studio teams and external partners
Financial Stewardship
—Participate in the management of project financials in accordance with studio procedures
—Assist in budget development, tracking, reconciliation and reporting
—Plan with profitability in mind and ensure cost transparency throughout
Creative Collaboration
—Participate in experiential strategy, concept development and ideation
—Support the translation of creative ideas into executable production plans
—Maintain a high bar for craft, detail, and overall guest experience
On-Site Production
—Oversee on-site execution of events
—Liaise and manage vendors onsite during events
—Train and manage brand ambassadors onsite during events when required
—Travel both nationally and internationally as required
—Represent the studio with professionalism, clarity, and calm leadership
Studio Contribution
—Develop a working knowledge of studio capabilities and ways of working
—Establish strong, collaborative relationships across internal teams
—Contribute to a culture of proactive communication and shared accountability
—Support additional duties as required
